1. Joint controllers

Al Alama Marketing Services Company (شركة العلامة للخدمات التسويقية) and Al Asr Group for Advertising Company (شركة مجموعة العصر للدعاية والإعلان) (the "Companies") act as joint controllers of your personal data for this experience.

2. Data we collect

First name, last name, gender and, where applicable, the guardian's name.

The national ID or Iqama number of the person giving consent (the adult visitor or the child's father/guardian).

Your photo taken by the kiosk camera, and the images and videos generated from it with AI.

Mobile number and email if you choose to provide them on the download page.

Records of your consents with date, time and terms version.

2a. ID number

We collect the ID number to verify the identity of the person giving consent (the adult visitor or the child's father/guardian) and to document that consent.

The ID number is not shared with AI service providers, is not used for marketing, and never appears on the public screen, download page or prints.

The ID number is deleted at the end of the retention period, even where images are kept for marketing with your consent.

3. Purposes

Creating a tribute portrait of you in the uniform of your chosen field of service, printing it on request and making it available to download.

Displaying the result on the event's public screen after review and approval by the organisers.

With your separate consent: using the images/videos in marketing, advertising and social media.

With your separate consent: contacting you for marketing.

4. Legal basis

We process your data on the basis of your explicit consent. Each optional purpose has its own consent, which you may refuse without affecting your participation.

5. Children under 18

Anyone under 18 may only take part with the consent of their parent or guardian, who confirms their status, records their full name and consents on the child's behalf.

6. AI processing and transfer outside the Kingdom

Your photo is processed automatically by AI image and video service providers whose servers may be located outside the Kingdom of Saudi Arabia. Only the minimum data needed is transferred (the photo and a scene description, without your name), subject to the safeguards required by the PDPL and its regulations.

Your original photo is used only as a reference to create the image and is kept in private, non-public storage.

7. Public display

When you choose "Show me on the Heroes Wall", the generated image or video may be shown on the large screen at the event venue, without your name, and only after review by the organisers.

8. Marketing use

Your images or videos are only used in marketing, advertising or social media if you separately consent. You may withdraw this consent at any time; withdrawal does not affect use made before it.

9. Retention

Your data is deleted within 30 days after the event unless you gave marketing-use consent, in which case the materials are kept only as long as needed for that purpose or until you withdraw consent.

The organisers may adjust the retention period, never beyond what is necessary.

10. Your rights

You have the right to be informed, to access and obtain a copy of your data, to request correction, to request destruction, and to withdraw your consent at any time.

11. Nature of generated images

The images and videos are created by AI for entertainment only. They do not represent any real rank or official status and must not be used to impersonate or imply official affiliation.

12. Security

We apply appropriate technical and organisational measures to protect your data, including private storage, time-limited links and access restricted to authorised moderators.
